This Service Description forms part of the Terms and Conditions of The Headteacher’s Report Limited.
1. Overview
The Headteacher’s Report is a cloud-based software platform designed to support schools in drafting structured professional documentation, including:
- Headteacher reports
- Self-evaluation documentation
- Policy summaries
- Compliance-related narrative drafting
- Inspection preparation materials
The platform provides structured templates and AI-assisted drafting tools to improve efficiency and consistency.
2. Core Functionality
The platform includes:
2.1 Secure User Accounts
- Role-based access
- Password-protected login
- School-level account management
2.2 Structured Drafting Tools
- Pre-formatted report templates
- Structured response fields
- Editable outputs
- Export/download functionality (e.g. PDF, Word, copy-to-clipboard)
2.3 AI-Assisted Drafting
The platform may generate suggested draft text using a commercial AI service.
AI functionality:
- Uses contextual information entered by users
- Produces draft suggestions only
- Does not make decisions
- Requires human review and editing
- Does not replace professional judgement
The AI tool does not independently verify compliance with statutory requirements.
2.4 MIS Integration (Where Enabled)
Where a school connects via Wonde API:
The platform may import:
- Aggregated pupil population data
- Attendance statistics
- Demographic breakdown summaries
The platform does not require directly identifiable pupil data (e.g., names, dates of birth, UPNs).
The school controls which data is shared through the integration.
3. Data Handling Model
The platform is designed to operate primarily using:
- Aggregated statistical data
- Contextual school-level information
- Narrative responses entered by users
The platform is not designed to store full individual pupil records.
Schools are responsible for ensuring that personal data entered into the system is necessary and proportionate.
4. Availability
The service is cloud-hosted and generally available 24/7, subject to:
- Planned maintenance
- Unplanned outages
- Events outside our reasonable control
Support is provided during normal UK business hours unless otherwise agreed.
5. Exclusions
The Service does not:
- Provide legal advice
- Provide statutory compliance certification
- Replace inspection frameworks
- Guarantee inspection outcomes
- Make automated decisions about individuals
- Perform pupil-level risk scoring
- Replace school MIS systems
6. Customer Responsibilities
The Customer is responsible for:
- Ensuring appropriate lawful basis for data entered
- Reviewing and verifying AI-generated outputs
- Ensuring accuracy of information entered
- Maintaining account security
- Ensuring only authorised users access the system
7. Service Updates
We may update or improve functionality from time to time, including:
- Template enhancements
- AI prompt improvements
- Performance improvements
- Security updates
Updates will not materially reduce core functionality without reasonable notice.
8. Data Export and Termination
Customers can export their reports and available data during the subscription term.
Following termination, retrieval is available in accordance with the Terms and Conditions.
